Is finding a time to meet actually harder than the meeting itself? Google aims to end the endless game of email tag by deploying Gemini to solve one of the corporate world’s most persistent frustrations. The tech giant is rolling out a smart scheduling tool within Google Calendar that uses artificial intelligence to automatically identify the best time slots for a group gathering.

Organizers can now select a “Suggested times” option when creating an event to trigger the analysis. The AI reviews the availability status and potential conflicts of every attendee to generate a curated list of optimal windows. This process eliminates the need to manually cross-reference multiple schedules or guess when key stakeholders might be free.

Rejections no longer require a complete restart of the planning process. The system allows the organizer to revisit the event if multiple people decline the initial invitation. Gemini will then highlight a new time when all parties are available and allow for an instant update to the calendar invite.

Efficiency relies entirely on data visibility. The feature functions only when the meeting organizer has permission to view the calendars of the attendees which effectively limits its use to internal teams or organizations with shared settings. Access is currently reserved for premium subscribers within the Google ecosystem. The update is available to users on Workspace Business and Enterprise plans as well as those utilizing the AI Pro for Education add-on. Rapid Release domains have access immediately while the wider rollout to Scheduled Release domains begins on February 2.
